Graduation should not be the moment the record goes cold

The directory starts from students already in Ivake, with their programme, batch and result intact. No import, no cleanup, and no separate database that drifts out of date the week after it is built.

How the directory stays true

The record continues, it does not restart

A graduating student becomes an alumnus on the same profile. What changes is who can see it and what they are asked for.

01 · Carried over

Programme, batch, roll number and result come from the ERP. The directory is accurate on day one because nobody typed it in.

02 · Claimed

The graduate verifies their own contact details and adds where they work now. You get current data without running a survey.

03 · Searchable

By batch, programme, city, employer or industry. Useful when the placement cell needs an introduction at a company.

04 · Mentorship

Alumni offer time; students request it. Matching runs on programme and industry, and the conversation stays inside Ivake.

05 · Events and giving

Reunions, chapter meets and campaigns, with attendance and contributions recorded against the same profile.

06 · Referrals back

An alumnus recommending a school for their child creates an enquiry in admissions, attributed to them. The loop closes.

Built for how alumni offices actually work

The awkward parts are the product

Consent, not a mailing list

Alumni choose what is visible and what they will be contacted about. A directory people trust is a directory people update.

Old batches

Graduates from before you moved to Ivake import from whatever you have, then verify themselves. Duplicates merge onto one profile rather than multiplying.

Chapters and cohorts

City chapters, batch groups and programme networks, each with their own members, events and organisers.

Giving that reconciles

Contributions settle through the same gateway as fees and land in the same day book, so finance sees one ledger.

Employers you already know

Where your graduates work is the most honest recruiter list a placement cell can have. It is the same data, read a different way.

Evidence for accreditation

Alumni feedback, employer feedback and progression are all criteria. Collecting them through the directory means they exist before the report is due.

What the office sees

A network you can actually reach

Every figure is read from the directory as graduates claim and update their profiles. Nothing is keyed in for the report.

Questions

What alumni offices ask first

We have twenty years of alumni in spreadsheets. Can we bring them in?

Yes. Import what you have, however patchy it is. Records match on name, batch and programme, and near-duplicates are held for review rather than merged silently. Graduates then claim and correct their own profile, which is the only reliable way old contact data gets fixed.

Who controls what alumni can see about each other?

The alumnus does, within limits you set. They choose whether their employer, city and contact details are visible to other alumni, to students, or to nobody. The office always sees the verified academic record, because that part comes from the institution rather than from them.

Can we run this without the Institution ERP?

Yes, on an imported graduate list. The advantage of running it alongside the ERP is that each passing batch joins the directory automatically, with a verified result attached, so the network grows without anyone maintaining it.

Book a demo

See Ivake running on your own data

Send us a sample before the call: a term of enquiries, a fee structure, or a class list. We load it and set up your programmes, so you see your own institution on screen rather than a demo account.

  • 45 minutes, your data. Not a generic tour of features.
  • Migration mapped on the call. We show exactly where your current records land.
  • A written rollout plan within two working days, with phases, owners and dates.
  • No pressure to switch everything at once. Most schools and colleges start with one department or one intake.
